How WildRun AI collects, uses, and protects your information.

Who we are

WildRun AI ("WildRun," "we," "us," or "our") builds custom AI systems for small business — voice agents, sales and operations automation, and AI-era search. This policy covers data we collect through wildrunai.com and related services.

Information we collect

Information you provide

  • Contact details — name, email, phone number, and business name when you submit a form, book a demo, or contact us.
  • Call transcripts — when you interact with an AI voice agent we operate on behalf of a client, the call is transcribed. Transcripts are stored encrypted and processed only to fulfill the purpose of the call (scheduling, intake, routing).
  • Messages — any information you include in form submissions or email correspondence with us.

Information collected automatically

  • Analytics — we use Plausible Analytics, a privacy-first analytics tool that does not use cookies and does not collect personal data. Page views are aggregated without identifying individual visitors.
  • Server logs — IP addresses are hashed (one-way, irreversible) before storage and used only for rate limiting and abuse prevention. We do not store raw IP addresses.
  • Cookies — wildrunai.com does not set first-party cookies. No third-party tracking cookies are used.

How we use your information

  • To respond to inquiries and provide requested services.
  • To send follow-up communications about your inquiry (you can unsubscribe at any time).
  • To improve our services and website.
  • To comply with legal obligations.

We do not sell, rent, or share your personal information with third parties for their marketing purposes.

Third-party services

We use the following third-party services to operate:

HIPAA compliance

For healthcare clients (dental, medical), WildRun offers HIPAA-compliant configurations. A Business Associate Agreement (BAA) is available upon request. Protected Health Information (PHI) is encrypted at rest and in transit, and is never used to train AI models.

Data retention

  • Lead information — retained for the duration of the business relationship plus 2 years, then deleted.
  • Call transcripts — retained per client agreement, typically 90 days unless a longer period is required for compliance.
  • Email communications — retained for 1 year after the last interaction.

You may request deletion of your data at any time (see "Your rights" below).

Data security

We implement industry-standard security measures including:

  • Encryption in transit (TLS 1.3) and at rest.
  • IP-based rate limiting with Durable Object-backed counters.
  • HMAC signature verification on all webhooks.
  • Content Security Policy headers on all pages.
  • No raw PII in server logs.

Your rights

You have the right to:

  • Access — request a copy of the personal data we hold about you.
  • Correction — request correction of inaccurate data.
  • Deletion — request deletion of your data.
  • Unsubscribe — opt out of marketing emails at any time via the unsubscribe link in every email.
  • Portability — request your data in a machine-readable format.

California residents (CCPA)

If you are a California resident, you have additional rights under the California Consumer Privacy Act. We do not sell personal information. You may request disclosure of data collected and request deletion. Contact us at the email above.

Children's privacy

Our services are not directed at individuals under 16. We do not knowingly collect data from children. If you believe we have collected data from a minor, contact us and we will delete it promptly.

Changes to this policy

We may update this policy from time to time. Material changes will be posted on this page with an updated "last updated" date. Continued use of our services after changes constitutes acceptance.
